IT Contracts Administrator

What will I be doing? 

Working closely with our IT Management team and members of the Finance team, you will be responsible for administration activities in relation to IT contract spend of £3m per annum.  This includes managing the process to order, receive and approve payment for all IT kit and software licences.  You will also be responsible for keeping our contract records up to date and providing oversight on the quality and accuracy of the IT asset records maintained by operational members of the IT team.    Given the materiality and numbers of assets involved, the role demands someone with a relentless attention to detail who is able to balance multiple actions simultaneously.  Given that the subject matter of the role and that you will be working closely with the IT team, an interest in technology would not be a bad thing!

The role will initially require up to 4-days effort per week with the potential for this to increase to full-time in the future if that is of interest to the successful candidate.  The role has a high degree of flexibility with the 4-days able to be spread across a week to largely to suit the candidate. Once the successful candidate is established in the role, at least 50% of working days could be from home with the remaining days in our new Manchester office.

Some of your responsibilities will include:  

Part-time role of 4-days per week with the potential to increase to full-time, your salary will be paid pro rata to the rate above.

Administration of IT contracts, invoices and assets relating to annual IT spend of value of £2m per annum

Maintenance of the IT contracts record library

Administration of IT procure to pay process (ordering hardware, confirming good receipt, approving invoices, IT asset register updates)

Validation of all IT invoices v. contractual terms

Ordering new IT licences and administration of IT license inventory (especially Microsoft 365 licences)

Oversight and quality checking IT assets records (includes initiating and tracking to closure actions where exceptions identified)

Administration, oversight and quality checking of mobile phone and data records and contracts

Administration and support of IT procurement and RFP exercises

What experience do I need? 

You will have:   

Prior experience in 1 or more finance administration roles (e.g. within an accounts payable or policy administration roles)

Possesses a relentless attention to detail

Strong Microsoft Excel skills (especially use of Pivot tables and lookup functions)

Ability to effectively balance multiple ongoing tasks

A demonstrable track record of being able to work independently and using initiative to bring a task to a closure

A willingness to learn new skills and concepts (in relation to the different types of contracts managed)
