Are you ready to join a successful financial advisement team based in Chelmsford? Our client is seeking a Part Time Administrator with fantastic attention to detail skills to cover a 12-month maternity leave. This is an excellent opportunity to be a valued member of their team and make a real impact on their day-to-day operations.

Responsibilities include:

Organise monthly team meetings; take detailed meeting minutes and distribute them to all staff.
Maintain office supplies such as stationery, cleaning products, and drinks, ensuring that the team always has what they need to perform at their best.
Manage office maintenance requirements and coordinate any necessary repairs, ensuring a safe and comfortable working environment.
Keep meeting rooms presentable and client-facing at all times, making a great impression on visitors.
Carry out administrative duties such as filing, binding, and scanning, keeping documents organised and easily accessible for the team.
Print and maintain a supply of first appointment packs for all Advisers, ensuring that they have the necessary materials for successful client meetings.
Organise staff collections and order occasion cards/gifts for special occasions, fostering a positive and inclusive team culture.
Prepare client information for Advisers ahead of their meetings, ensuring they have all the necessary details to provide exceptional service.
Send out documents for clients to sign and diligently follow up to ensure their prompt return.
Conduct anti-money laundering checks to maintain compliance with regulations.
Update client information accurately and promptly, incorporating any changes to ensure data integrity.
Issue customer satisfaction surveys to clients, actively seeking feedback to improve the overall client experience.
Assist with any mandatory daily tasks during staff absences
Sort and distribute post to relevant departments, scanning and filing documents as necessary to maintain organisation.
Answer incoming calls, take messages, and transfer calls as needed
Respond to client email queries promptly and professionally
Frank outgoing post to ensure timely and accurate delivery.
Provide any ad hoc assistance needed by Directors
